Projects and tasks
Projects is the heart of QOS. Every piece of work we’re doing for you is a project or a task, and each one has a job number, a status, notes and files.
Finding your way around
Section titled “Finding your way around”At the top of Projects you’ll see:
- Year tabs, with a count on each, so you can jump back to earlier work.
- Status cards: Draft, Ready to create, Info needed, In review and Revision. Select one to filter the list to that status. The ones waiting on you stand out.
- A Search projects… box. Type a job number, a title, a tag or a word from a note.
- Filter buttons for Projects and Tasks, and one for each status. Use the filter icon to clear them.
- A List and Timeline switch. Timeline lays your work out by date.
Each row in the list shows the job number, Status, Project Title, Tags, Due, and shortcuts for the Brief, Review, Notes and Final Art. If you can see Points, there’s a Points column too. Select a row to open the project.
Starting a project or task
Section titled “Starting a project or task”Choose New project at the top right. The arrow beside it also offers New task.
- Type a Project title (or Task title).
- Add a Due date if you have one. It’s optional.
- Add tags if you like.
- Switch Urgent? on if it can’t wait.
- Choose Create project (or Create task).
QOS gives it a job number and normally sets up its brief, review deck and file folder for you. A project is a piece of work. A task is a smaller item, with a checklist instead of a brief.
Inside a project
Section titled “Inside a project”Select a project and it opens in its own window.
On the left you’ll see the job number, the status, the title, its tags and its due date. You can change the title, tags and due date yourself. Below that is the Status menu, and the Notes. If you can see Points, the number sits beside the status. If final artwork is ready, a Final art button appears.
On the right are the tabs. On a phone, Notes is a tab as well.
- Brief: the working brief. Choose Open in Google Docs to read or edit it, or Download PDF.
- Review: the work to look at. Choose Open in Google Slides to see it and leave your comments, or Download PDF.
- Notes: the conversation about this project.
- Provide Assets: send us files. See Files and links.
- Log: a timeline of what changed and when. It only shows if we’ve turned it on for you.
For a task, the tabs are Checklist, Notes and Log. Tick items off on the Checklist, or type in the New task box to add one.
Notes are for updates, questions and decisions. Type in the Add a note… box and choose Send. On a computer, ⌘ Enter (Ctrl Enter on Windows) sends it too. Type @ to link to another project or task, and use the reaction buttons to respond to a note without writing one.
If you’ve turned on the Note added notification, a new note opens the project when you select it. See Notifications.
Statuses
Section titled “Statuses”The status shows where the project is up to. You can change it from the Status menu, and we can see when you do.
- Draft: set up, but not started yet.
- Ready to create: ready for us to get going.
- Information required: we need something from you before we can continue.
- Review: there’s work for you to look at.
- Revisions requested: changes have been asked for.
- Ready for FA: ready for final artwork.
- Completed: finished. Final art, if there is any, is available.
- On hold: paused.
- Cancelled: stopped.
You may also see Pending brief. That means we’ve sent you a brief form and we’re waiting for it. See Files and links.
Points
Section titled “Points”If you’re on a retainer and have Retainer access, each project shows how many Points it uses. Points are for you to see only. We set them. See Retainers.
If something looks wrong
Section titled “If something looks wrong”Can’t find a project, or a file won’t open? See Troubleshooting, or get in touch with the job number.
